What transport services are available with air freight forwarders?

When you first face the task of organizing an urgent machinery shipment to Brazil or importing temperature-critical medications from India, you’ll quickly discover that air freight is not all the same.

Behind this term lie completely different transport concepts with sometimes dramatic differences in cost, speed, and complexity. A 20-kilogram package of standard electronics costs about 200 euros and arrives in five days. The same shipment via express can cost 800 euros but reaches its destination in 36 hours. The decision between these two options can determine your business success.

Standard Air Freight for Regular Worldwide Shipments

As a reliable solution for global goods transport, standard air freight is particularly suitable for shipments without extremely urgent deadlines. This transport method uses regular airline scheduled flights and offers a balanced ratio between costs and transit time. Your shipments are consolidated with other freight pieces from various shippers, which reduces costs compared to exclusive transport solutions.

A medium-sized company that regularly imports electronic components from Asia uses this transport method for predictable needs where a lead time of about one week is perfectly adequate. Costs typically range between 2 and 8 euros per kilogram, depending on route, volume, and current market conditions.

Express Air Freight and On-Board Courier Service for Urgent Shipments

Express air freight means absolute priority at all handling steps. Instead of waiting for cost-effective flight connections, the forwarder books the first available cargo space and ensures preferential treatment at departure and destination airports. This priority treatment can reduce your delivery time from five working days to two or three days, but works best on main routes between major economic centers.

The on-board courier service goes even further: A courier flies as a regular passenger and uses their complete baggage allowance for your shipment – both carry-on and checked luggage. This allows 30 to 40 kilograms to be transported under personal supervision without the usual handling points in cargo centers. Deliveries within 24 to 36 hours are practically possible anywhere flight connections exist.

The limitations of courier service lie in airline baggage restrictions and the prohibition of dangerous goods. Everything that doesn’t fit in normal suitcases or contains hazardous materials must be handled via express air freight. However, for critical spare parts or time-sensitive documents, you receive a speed that’s unachievable with conventional freight.

Temperature-Controlled Transports for Pharma and Perishable Goods

Temperature-controlled air freight transports require specialized containers and unbroken cold chains from sender to recipient. These transports are continuously monitored and documented to ensure the quality of temperature-sensitive goods. The forwarder coordinates not only the air transport but also the refrigerated pre- and post-carriage as well as intermediate storage.

This service becomes particularly critical with vaccines or biotechnology products that can lose their effectiveness even with minor temperature deviations. Costs for temperature-controlled transports are about 30 to 50 percent above standard rates since special equipment and additional monitoring measures are required. In return, you receive detailed temperature records for every transport segment.

Dangerous Goods Transport According to IATA-DGR

Dangerous goods transports are subject to the strict regulations of IATA Dangerous Goods Regulations and require comprehensive expertise as well as special certifications. The forwarder handles the complete classification of your goods, creates the required transport documents, and ensures regulation-compliant packaging and marking.

This expertise is particularly valuable when transporting lithium batteries, chemicals, or medical samples. Regulations change regularly and differ significantly depending on the dangerous goods class. Incorrect declaration can not only lead to costly transport delays but also have legal consequences. Specialized air freight forwarders continuously invest in employee training and keep all required certifications current.

Charter Service for Large Projects

Charter flights are employed when your shipments exceed the capacities of regular cargo space or have special requirements. The forwarder organizes a complete aircraft exclusively for your freight and can thus transport even extraordinary dimensions or weights.

This service is suitable for industrial equipment, wind power components, or complete production lines. Costs typically start at 50,000 euros and up, depending on aircraft type, distance, and availability. Despite the high investment, a charter can be economically sensible if you save multiple standard flights or meet time-critical project deadlines.

Door-to-Door Service Including Pre- and Post-Carriage

Door-to-door service extends pure air freight to include complete pickup from the sender and delivery to the recipient. The forwarder coordinates all transport modes – from truck pre-carriage to the departure airport through air transport to the final delivery run. You have only one contact person for the entire transport chain.

This comprehensive service significantly simplifies your logistics processes and offers complete shipment tracking from pickup to delivery. Additional costs compared to pure airport handling usually range between 20 and 40 percent but save you the effort of coordinating multiple service providers. At the same time, you reduce the risk of delays or damage at interfaces between different carriers.

Three Crucial Questions Before Every Transport Choice

When facing service selection, first answer three core questions:

  • When must the goods arrive at the latest?
  • What happens if they arrive one day later?
  • What risks does the cargo itself present?

A production company with tight just-in-time supply chains will decide differently than a retailer who needs seasonal goods in time for Christmas.

Resist the temptation to always choose the cheapest service.

A delayed standard shipment can cost you more than a punctual express delivery. Conversely, you often pay three to five times more for express services even though standard air freight would have been perfectly adequate. The most experienced importers develop a sense over time for when each premium is worthwhile – and when you can confidently choose the most economical option.
