The principle is straightforward: The airline calculates both the gross weight and volumetric weight of your shipment and uses the higher of the two values as the billing basis. Imagine you’re shipping 100 kilograms of electronic components in compact boxes – here, the actual weight will likely be relevant. However, if you’re shipping 50 kilograms of inflated air mattresses that occupy an entire cubic meter, the volumetric weight will determine the calculation.

Understanding and Calculating Volumetric Weight

Volumetric weight is calculated using the formula: Length × Width × Height (in centimeters) ÷ 6000 = Volumetric weight in kilograms. The number 6000 is the standard factor in air freight and reflects that one cubic meter of cargo space can theoretically accommodate 167 kilograms.

Consider the case of a mid-sized company exporting designer furniture: A shipment of five armchairs weighs 80 kilograms total but occupies 2.5 cubic meters due to their bulky shape. The volumetric weight would be 250 cm × 100 cm × 100 cm ÷ 6000 = 417 kilograms. The airline would therefore charge based on 417 kilograms, not the actual 80 kilograms.

The air freight rate forms the core of cost calculations. This rate is calculated per kilogram and varies depending on destination, season, and available capacity. The pricing structure often follows a degressive system: the heavier your shipment, the lower the per-kilogram rate becomes. Starting from 100 kilograms, cheaper rates usually apply, and rates become even more attractive from 300 or 500 kilograms onward.

Take a shipment to Australia: biosecurity charges often apply here, as Australian authorities conduct particularly strict controls on imported goods. Shipments to developing countries may incur infrastructure surcharges that reflect limited infrastructure at smaller airports.

War risk surcharges are imposed for destinations in politically unstable regions. These surcharges can change quickly – what is a normal destination today could be subject to risk surcharges tomorrow due to political developments.

Additional Services and Their Costs

Express services guarantee accelerated processing and transport. When you urgently need spare parts for a production line, these services can be economically sensible despite the additional costs. The time savings can prevent production downtime whose costs far exceed the additional freight charges.

Temperature-controlled services for temperature-sensitive goods like pharmaceuticals or high-value electronics require special containers and monitoring systems. These services can double transport costs but protect goods worth hundreds of thousands of dollars.

Practical Cost Optimization

To optimally calculate your air freight costs, you should consider all components in advance. Create a checklist of all possible surcharges for your specific goods and destination countries. Also consider seasonal fluctuations – shipments before Christmas or during Chinese Golden Week are traditionally more expensive.

Packaging optimization can bring significant cost savings. Every centimeter saved in dimensions reduces volumetric weight and thus costs. However, you must ensure adequate protection – damaged goods often cause higher costs than the saved freight charges.
