Same-Day Service: Shipping the very same day

Many air freight forwarders offer a same-day service where you can register your shipment until a specific time – usually between 2:00 PM and 4:00 PM.

However, certain prerequisites must be met for successful same-day service. The shipment must be ready for pickup, all shipping and customs documents must be complete, and the desired flight route must have sufficient capacity.

The key lies in precise timing. If you know that the main flight to your destination region departs at 10:00 PM and the forwarder has a cut-off at 4:00 PM, all preparations must be completed by then.

This means specifically: the goods must be packed, labeled, and ready for pickup, while simultaneously all documents have been created and verified.

Next-Flight-Out: Maximum flexibility around the clock

Even more flexible is the next-flight-out service, where your shipment is transported on the next available flight. This service operates around the clock and is particularly suitable for absolute emergencies.

The forwarder coordinates all logistical steps: from immediate pickup through express handling at the airport to priority treatment at the destination.

Imagine your production line is down due to a defective component and causing $10,000 in losses daily. In such a scenario, the higher cost of next-flight-out service pays for itself within hours.

Special express services for critical situations

For particularly critical cases, forwarders offer even faster alternatives. The onboard courier service transports your shipment as hand luggage of a courier on a passenger aircraft. This is the fastest available option since there are no waiting times for cargo flights and the shipment is delivered directly at the destination.

Specifically in the aviation industry, AOG service (Aircraft On Ground) is used when aircraft must remain grounded due to missing spare parts. This situation causes extremely high costs for airlines, which is why AOG shipments receive absolute priority and are often transported worldwide within hours.

Factors determining short-term availability

The availability of cargo capacity on the desired route is the decisive factor. Main routes like Europe-North America or Europe-Asia offer multiple daily flight connections and thus high flexibility.

The situation is different for destinations off the main routes, where often only a few weekly connections exist.

Availability fluctuates significantly by season. Before holidays or during the pre-Christmas period, capacities are heavily utilized, making short-term bookings more difficult or expensive.

Experienced forwarders know these patterns and can offer alternative routes or connecting flights. However, it would be better to plan ahead and avoid short-term bookings.

The type of your goods plays an equally important role. Standard goods without special requirements can be handled much more short-term than dangerous goods, temperature-controlled items, or shipments requiring special permits.

While documents or conventional electronic parts are ready for shipping within hours, dangerous goods require extensive declaration and inspection.

Documentation as a success factor

Especially with short-term bookings, complete and correct documentation determines the success or failure of your order.

All shipping documents must be available: commercial invoices, packing lists, possible certificates of origin, and export permits when required. A single missing or incorrect document can destroy the entire express service.

It becomes particularly tricky when you first learn of an urgent order around 1:00 PM, but important documents – like invoices – still need to be created.

In such cases, every minute counts, and even a small delay can result in missing the cut-off deadline.

For companies that regularly want to use express services, digital document management and prepared templates are therefore a great help.

Cost structure for express shipments

Short-term air freight bookings cost significantly more than standard shipments. The additional costs arise from express surcharges, priority handling fees, and often higher freight rates due to reduced planability. A standard shipment to Asia for $500 can easily cost $1,200 as a same-day service.

This investment must be weighed against the costs of delayed delivery. Production failures, lost orders, or contractual penalties can quickly offset the express surcharges. The decision should therefore always include a comprehensive business analysis.
